Administrator & Events Coordinator

The Social Change Initiative (SCI) wishes to appoint a part-time (21 hours a week) Administrator & Events Coordinator to provide effective and efficient administrative support to the SCI team, and to coordinate the delivery of SCI events.     

The post offers a two-year fixed term contract with an attractive benefits package.  The role is a hybrid one allowing for a mix of remote and office-based work with flexible working hours to be agreed.   

Key Responsibilities

  • Co-ordinating and delivering the planning, organisation and administration associated with SCI’s online and in person convenings and events, to include the booking of venues, travel arrangements, accommodation and the organising of I.T. resources, catering etc.
  • Arranging internal SCI meetings, minute-taking, preparation of papers, agendas, catering, IT etc. 
  • Record keeping, processing paperwork and liaison with SCI fellows and staff in respect of payments, expenses, grant reporting requirements, and expenditure.
  • Assisting with project evaluation, research projects, the drafting of contracts and reports.
  • Maintenance of SCI’s database of contacts and mailing list, in line with General Data Protection Regulations (G.D.P.R.).
  • Greeting callers to the office, both via telephone and in person, including arranging refreshments when required.
  • Maintaining office supplies, liaison with landlord, and compliance with health and safety requirements. 
  • Other reasonable duties in pursuance of the organisation’s aims and objectives.

Skills, Qualifications & Experience Required

Essential Criteria

  • Third Level Qualification
  • At least 5 years’ experience of providing organisational support/event management.  
  • Proven attention to detail.
  • Strong verbal and written communication skills.
  • Proven experience of organising international events, logistics, travel, visas, event budget management etc.
  • Experience of managing diaries and setting up meetings.
  • Strong computer skills with working knowledge of Microsoft Excel and experience in data entry and database management.
  • High level of numeracy and ability to enter financial data, produce reports and keep accurate records.
  • Demonstrated abilities in project delivery, organising, prioritising and time management.
  • Ability to perform duties independently, with minimal direct supervision.
  • A proven proactive and positive approach towards working in a busy organisation, with the ability to form productive working relationships at all levels and across different cultures and time zones.
  • Ability to maintain strict confidentiality.
  • Demonstrate a commitment to the aims and ethos of the Social Change Initiative.

Desirable Criteria

  • Previous experience of working with non-profit organisations and philanthropy.
  • Previous experience of evaluation, research and report writing.
  • Recognised Project Management Qualification.
