Who we are
SCI is the Social Change Initiative, based at Wellington Buildings, 2-4 Wellington Street, Belfast, BT1 6HT and registered with The Charity Commission for Northern Ireland (NIC105797).

Personal data we collect
We collect personal data in order to provide many of our services and products. The majority are provided to SCI Fellows, Mentoring Programme participants, delegates at events and convenings, participants in the Migration Learning Exchange Programme, subscribers to our website and publications, and to organisations and events to which we provide funds. We also collect and process analytical and anonymised personal data through our website.

Information we collect from you
• Business contact information such as your full name, email address, job title and the organisations that you are associated with.
• Records of your registration and attendance at events, such as conferences, seminars, training sessions and formal meetings that we organise or host.
• Records of your contact and activities with us, including emails, notes from phone calls and face-to-face meetings.
• Records of your subscriptions to email bulletin products, including a log of whether you opened the emails and clicked on links.
• Photographs, video and/or audio recordings of events and training sessions for use in print and electronic media, for promotional and archival purposes. Information we collect about you from other sources
• Standard internet log information such as your IP address and visitor behaviour patterns. We use Google Analytics to analyse website traffic. • Mail Chimp sign-up forms which are usedto record your name and e-mail address on our database, for the purposes of receiving a newsletter or e-mail invite to an event which we are hosting/ co-hosting.

How we collect your personal data
We collect personal data from you:
• When you sign-up to receive our mailing list via the online sign-up form.
• When you register to attend an event, conference or convening that we are hosting, co-hosting or sponsoring.
• When you attend a Learning Exchange which we are hosting/ co-hosting.
• When we provide funding or sponsorship for you or your organisation.
• When you apply for our Fellowship or Mentoring programmes.
• When you complete one of our surveys or feedback forms.
• When you apply for a job or internship with us.

How we use your personal data
We use your personal information to:
• Manage registration and attendance at conferences, convenings, events and learning exchanges.
• Provide digital products and services such as email bulletins.
• Gather and analyse statistics around email opening and website traffic to help us improve our digital products.
• Compile invite lists for future events, convenings and conferences which we are hosting/ co-hosting.

What are the lawful bases for our processing of your personal data?
We use the following lawful bases to process personal data:
• Where it is in our legitimate interest to provide confirmations or updates about products or services we provide you with, such as inviting you to, or fulfilling your request to attend events, convenings, conferences, meetings and Learning Exchanges.
• Where you have subscribed to receive an email bulletin. You will have given consent for us to store your contact information and to contact you by subscribing. You can unsubscribe at any time from the email itself or by contacting us directly. 

Sharing your personal data 
We do not regularly share personal data with other people or organisations without
your consent except in the following circumstances:
• When we co-host or sponsor an event and provide our co-host with personal data in order for them to extend invitations to the event or to register participants. We do not share personal data for use at events where we are not involved as host or sponsor.
• In the case where consultants or non-permanent SCI staff are engaged by SCI to work on an event and have access to personal data held by SCI, we ensure their compliance with this privacy policy through specific agreement included in their contract with us. This includes a specific provision to delete all data after they complete their work for us.

You can contact us for further clarification or if you have any concerns regarding the personal data that we hold by contacting us. Please note that the exercise of your rights is dependent on the lawful basis that has been used for each processing activity.

Data security and retention
We minimise the amount of personal data we keep about you and the period of time we hold it for. In some cases, we retain records for the length of time that we are legally obliged to do so (for example, invoices, payment information, job application and monitoring information, minutes of general meetings and trustee decisions). In the remaining cases, we review our need to retain records and data on an annual basis. When we no longer require personal data, we ensure its secure deletion or disposal. When we use third party services and cloud services to process personal data we undertake due diligence to make sure that they are reputable and have appropriate data protection practices.

Cookies and analytics
We collect information about your visits to our website, including where available, your IP address, operating system and browser type. The data cannot be used to identify any individual. To help us gather this information we use cookies; small files stored on the hard drive of your computer. Cookies allow us to improve our site and deliver a better service.
